Volunteer Program Facilitator – must be on OW
SUMMARY
The PARC Volunteer Program Facilitator will provide day to day support to the PARC Volunteer Program. The PARC Volunteer Program Facilitator develops & reviews the PARC Volunteer program policies & procedures. The PARC Volunteer Program Facilitator will update existing forms related with volunteer assessment, screening, and training and placement protocols and design new one as needed. The PARC Volunteer Program Facilitator maintains all records, data, requests and evaluations of PARC volunteers. The PARC Volunteer Program Facilitator will develop specific position descriptions for every volunteer position at PARC.
The PARC Volunteer Program Facilitator will work in collaboration with other staff members especially the Drop-in & Kitchen teams to help identify volunteer opportunities as well as potential barriers to volunteering at PARC. S/He will assure that volunteering at PARC is a rewarding and satisfying experience communicating regularly with volunteers and staff. S/he will be responsible to maintain communication with Social Services staff members related with the volunteer involvement of recipients of Ontario Works and ODSP. The Facilitator will develop and implement volunteer recognition protocols & events.The PARC Volunteer Program Facilitator will report to Director of Resource Development who will be responsible for its evaluation. The PARC Volunteer Program Facilitator will be assigned other duties as deemed necessary by the PARC Management Team.
The practice of the PARC Volunteer Program Facilitator will be guided by the agency’s standards (policies & procedures) and relevant legislation including the Mental Health Act and professional standards and ethics.
Hours
Volunteer Program Facilitator is expected to work a minimum of 25 hours per week, primarily between the hours of 9am and 5pm Monday through Friday.
RESPONSIBILITIES AND DUTIES
Volunteer Program Development – To develop, maintain and evaluate the volunteer program at PARC.
Duties
- Assess continually the volunteer needs for all PARC programs.
- Update as needed the volunteer program policies and procedures.
- Develop and implement program planning and evaluation.
Volunteer Support – To provide support to both the volunteers at PARC specially PARC members and respective staff working with volunteers.
Duties
- Volunteer recruitment – Implement volunteer screening and evaluation.
- Provide relevant & appropriate information to volunteers and staff.
- Develop and implement a volunteer recognition program and strategy.
Administrative Functions – The PARC Volunteer Program Facilitator will maintain a record keeping system and database for all volunteers at PARC.
Duties
- Ensure that all data, statistics and information that may be of use to PARC and/or specific funding sources is kept in entirety and is complete and accurate
- Ensure that all records, files and databases are complete, accurate and kept current.
- Ensure that all volunteer information is kept secure, discreet and available
Team Membership – To act as a team member and promote the centre values of teamwork, participation, and networking within the centre and the community-at-large.
Duties
- Participating in team, network and agency activities.
- Demonstrate leadership abilities and task maintenance functions.
- Perform other duties as requested by the PARC Management Team.
Public Education – To increase the public awareness of issues relevant to the PARC community. To promote community awareness of the services provided by PARC.
Duties
- Disseminating information about the services offered by PARC through telephone consultation, brochures and other resource materials.
- Promote the profile of PARC in a professional and consistent manner.
- Participate in interagency educational programming with other service providers.
SPECIFICATIONS
Skill Factors:
Education: BSW/BA or equivalent. Preferable a Certificate/Diploma in Volunteer Management. Excellent knowledge to use Microsoft Office programs
Experience: Preferable experience in Volunteer Management, but must have at least 3 years experience working or compatible volunteer experience with non-profit organizations. Understanding of the unique issues and needs of the community PARC is working with.
Communication Skills: Excellent oral and written communication skills including ease with computer communications and use. Ability to engage and liaise effectively with members and their supports (families, workers, etc.) agency colleagues, other service providers, and the general public.
Leadership Skills: Ability to model and promote agency expectations of teamwork and networking within the agency and the community-at-large. Previous participation in collaborative community efforts.
Effort Factors:
Physical Demands: Hectic, office-type setting including interaction with: PARC members, staff, volunteers and the general public. Occasional evening and weekend work is required.
Mental Demands: Ability to organize and prioritize multiple tasks. Advanced assessment and problem-solving abilities. Sound analytical and strong decision-making skills. Ability to work by yourself and as part of a team.
Working Conditions: Office work, public sites, volunteer/member home environments, and travel with and without members/volunteers.
